Students must remain compliant throughout their program enrollment, adhering to a combination of policies from clinical sites, the CDC, the state of Texas, and the Workforce and Continuing Education department.

The Workforce and Continuing Education team monitors each student's compliance status. A student is considered compliant only when all required documentation, as outlined by these combined policies, has been uploaded to and approved in their document tracker.

Students enrolled or wish to be enrolled in the following programs must have all the clinical requirements listed on this page:

 

  • Certified Nurse Aide
  • Clinical Medical Assistant
  • EKG Technician
  • Non-Certified Radiologic Technician
  • Patient Care Technician
  • Pharmacy Technician
  • Phlebotomy Technician
  • Sterile Processing Technician

Clinical Requirements


Provide one of the following:

 

  • Documented proof of two MMR doses, administered at least 28 days apart.
  • Positive quantitative titer
  • Documented proof of two Measles, one Mumps, and one Rubella dose, per CDC guidelines.

 

Note: If your titer results are equivocal or negative and you lack documentation of completing the full vaccination series, you must complete the series in its entirety and provide proof of completion.

Provide one of the following:

 

  • Documented proof of two Varicella doses, administered at least 28 days apart.
  • Positive quantitative titer
  • Medical provider verification of past disease (month/year).

 

Note: If your titer results are equivocal or negative, you are required to complete the full vaccination series again and provide proof of completion.

Provide one of the following:

 

  • Documented proof of a completed series (2 or 3 doses) per CDC recommendations. For the 2-dose series, doses must be at least 28 days apart. For the 3-dose series, the first two doses must be at least 28 days apart, and the third dose must be administered six months after the first dose.
  • Positive quantitative titer

 

Note: If your titer is equivocal or negative, you must complete a new vaccination series and submit proof of completion. Ask your healthcare provider to administer the two-dose Heplisav-B series. If you opt for a three-dose series, be aware that completion may take up to six months, so please plan accordingly.

Provide documented proof of vaccination within the past 10 years, which must remain valid throughout the program. If your renewal date falls within the program period, renewal is required for externship eligibility.

Your TB test must be current throughout the program. If renewal falls within the program period, you must submit evidence of a negative test at least six weeks before your externship start date.

 

Provide one of the following:

 

  • Negative TB skin test within the past year
  • Negative QuantiFERON-TB Gold In-Tube Test (QFT-GIT)
  • Negative T-SPOT TB Test (T-Spot)

 

Note: If the test is positive, a chest x-ray and a TB symptom-free statement from a healthcare provider are required.

Provide documented proof of the current season’s flu vaccine. If out of season, submit an exemption form if the vaccine won't be available before your externship/clinical start date. If the externship start date is after the vaccine becomes available, you must submit evidence of vaccination at least six weeks before your externship start date. Students are responsible for verifying vaccine availability with their provider or pharmacist.

(Required only for Sterile Processing and EKG)

Provide documented proof of the current season's vaccine. If the vaccine is currently unavailable, you must submit proof of vaccination once it becomes available, ensuring it is uploaded and approved on your document tracker at least six weeks before externships begin. No exemptions are permitted. Students are responsible for checking availability with their provider or pharmacist.

Your certification must remain current throughout the program. If renewal falls within this period, submit proof of renewal at least six weeks before your externship start date.

 

Acceptable course:

 

  • American Heart Association – BLS for Healthcare Providers (in-person only; available through WCE)

Provide one of the following:

  • High school transcript.
  • High school diploma.
  • College transcript.
  • College degree.

 

Note: Non-English documents must be translated.

Provide one of the following:

 

  • Valid State ID.
  • Valid Driver’s License.

 

Note: Identification must not be expired.

Prepare to provide a copy of your Social Security Card.

Deadlines


To register, all clinical requirements must be submitted at least one week before your program’s orientation. Students with annual and biennial requirements that renew within the program duration may register initially, but must provide proof of renewal at least six weeks before externships begin. For seasonal vaccines, such as Flu and COVID-19, that are unavailable before orientation, students must provide proof of vaccination no later than six weeks prior to externships.

 

Important: Students who do not complete and submit all required clinical documentation by the initial deadline will be ineligible to register, or if already registered, will be dropped from the program. For requirements with renewal dates within the program duration, students must submit all updated clinical documentation at least six weeks before the start of externships or clinicals to remain eligible to participate.
